1. Introduction

Divide LLC d/b/a TherapySolo ("we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, and share info about you when you visit therapysolo.com or use our practice management application (the "Service").

IMPORTANT: HIPAA AND PATIENT DATA

This Privacy Policy applies to the personal information of Therapists (our direct customers) and website visitors. Data regarding Patients/Clients that is entered into the Service is considered Protected Health Information (PHI). PHI is governed by the Business Associate Agreement (BAA) signed between TherapySolo and the Therapist, and by federal HIPAA regulations. In the event of a conflict between this Policy and the BAA, the BAA controls regarding PHI.

2. Information We Collect

  • Account Information: When you sign up, we collect your name, email address, practice address, NPI number, and professional license information.
  • Payment Information: We use Stripe to process payments. We do not store your credit card numbers on our servers. Stripe provides us with reference identifiers to manage your subscription. We do not store your card details.
  • Usage Data: We collect logs on how you access the Service (IP address, browser type, pages visited) for security and performance monitoring.
  • Cookies: We use session cookies to keep you logged in securely. On a limited set of public marketing pages (such as our homepage, pricing, and about pages), we use Google Analytics cookies to understand website traffic. Google Analytics is not loaded on any authenticated page, including the Therapist Portal, Client Portal, or individual therapist profile pages. We do not use third-party advertising cookies.

3. How We Use Your Information

We use your data to:

  • Provide, maintain, and improve the Service.
  • Process transactions and send related information (invoices, receipts).
  • Send technical notices, security alerts, and support messages.
  • Comply with legal obligations (including HIPAA).

4. Sharing of Information (Sub-Processors)

We do not sell your data. We share data only with trusted third-party service providers necessary to operate the technical infrastructure of the Service. These providers are bound by confidentiality agreements and, where applicable, HIPAA Business Associate Agreements (BAAs).

We share data with the following categories of providers:

  • Cloud Hosting & Infrastructure Providers: To securely host the application, database, and file storage.
  • Payment Processors: To handle subscription billing and facilitate client payments.
  • Email & Communication Services: To send transactional notifications (such as invoices and password resets) and handle support inquiries.
  • Analytics Provider: We use Google Analytics on our public marketing pages only to measure website traffic and improve our marketing content. Google Analytics does not have access to any authenticated pages or Protected Health Information. For more details, see Google's Privacy Policy.

5. Data Retention

We retain your account information for as long as your account exists. If you cancel your subscription, your data remains accessible until your billing period ends. After cancellation, your account data is retained until you request deletion. To delete your account and data, contact support@therapysolo.com.

Note: We are required by law to retain certain financial records and may retain anonymized data for legal compliance.

6. Security

We implement industry-standard security measures, including encryption at rest (AES-256) and in transit (TLS 1.2+), to protect your information. However, no security system is impenetrable.

7. Your Rights

You may update your account information at any time via the Settings page. You may request the deletion of your account by contacting support@therapysolo.com, subject to our legal obligation to retain certain financial or medical records.
